1. Transactions

Creating new transactions, events

Auto-completed input fields based on former transactions

Adding new transactions, just click the Description drop-down list or type in a few of the first letters of the description and the software will automatically fill the other parameters based on a former transaction if there are a similar transaction already in the transaction database. With this useful function only a few keystrokes are needed to create a new transaction or event. This auto-complete function can be switched off in Preferences.

Transactions with reminder

Reminders are useful when you add a future transaction and you want to get a remind before the transaction date. Transactions with reminder will be displayed with a bell icon Yellow bell or a bell icon with a green arrow Bell icon with a green arrow in the calendar depending on the selected value of the "Reminders ... days before" parameter in Preferences dialog box. When a remindered transaction date is passed, a warning triangle Warning triangle is displayed next to the transaction name. The Notification window lists all of the transaction with reminders at starting of the software if the "Show Reminder dialog on startup is checked in Preferences.

Void transactions

Checking the Void flag, the transaction will be ignored when calculating balances.

Attaching documents and links to Transactions/Events

With this function local files (invoices, handbooks...) or links (technical datasheets, support forums...) can be attached to the transactions. Documents can be linked to Accounts and Payees also.

Note: attachments will not be embedded into the data file, therefore using documents with fixed-path is recommended only. However, running in portable mode from USB drive, the software detect the variable drive letter automatically.

To convert a recurring transaction to simple transactions click the Convert to simple transactions button or select it from the context menu.

Transfer transactions

Transfer transactions Transfer transaction icon 1 Transfer transaction icon 2 are special transactions for transferring money between accounts. Transfer transactions can be created by choosing a transfer category as the next image shows.

If the category list doesn't contain any transfer category (category names completed with "(Transfer)"), first you have to create a new transfer category in Categories/Subcategories dialog box. This window can be opened during transaction editing by clicking the "+" button next to the Category list.

After selecting a transfer category the Create inverse transaction connected to: checkbox will appear. By checking this checkbox you can create the "inverse" pair (income - expense) of the transaction connected to the selected account.

2. Tips for Reporting

Compare Monthly spendings to Monthly limits

After setting monthly limitsMonthly limits icon for expense categories, move mouse over the cells in the Statistic view table to appear a tooltip contained the monthly spending chart.

Show transactions vs. summarized categories/payees in calendar view

By checking the Summarized Radio buttons in Calendar preferences dialog or pressing F12 key, the summarized categories and payees will be displayed instead of the transactions in calendar view. This function is useful when appearing all of the transaction makes the calendar crowded. The number in brackets next to the categories/payees shows the quantity of transactions.

Month-to-date (MTD) function (available only in YourMoneyGuard)

Using the Month-to-date (MTD) function, the current and previous monthly expenses can be compared in the Monthly expenses chart. When the Month-to-date checkbox is checked, the displayed interval changes from the entire month to MTD. Similarly, you can compare the incomes, balance and further data in the other monthly charts.

Show grouped transactions in Statistic view

By checking the Show transactions checkbox in Statistic preferences dialog, grouped transactions under the category and subcategory rows can be displayed as well in Statistic view.

Running balance in reporting charts and tables

To calculate the running balance, the Transaction account parameter is essential. Therefore, to display the running balance in charts and tables, always set the Account when you create a new transaction.

3. Transaction importing

Importing functions are available only in YourMoneyGuard.

Character encoding

If there are special characters in imported transactions, select the appropriate encoding type in the Import transactions dialog box (e.g. UTF-8) for the correct encoding all of the special characters as well. After selecting an encoding type from the list, the new characters appear immediately on the Transaction list, according to the selected encoding type.

Import function has a lot of parameters in the Import windows, because of the importing flexibility. After setting up an appropriate configuration, click "+" (Save) button to save the parameters, these parameters can be loaded by the next importing. The saved settings can be deleted by clicking the "X" (Delete) button.

Numeric and Date format settings and Remove characters from importing texts

YourMoneyGuard uses the Windows Region and Language system as default settings, however the Decimal/Thousand separator and the Date format can be customized in the Numeric and Date format settings window. If your CSV or QIF file uses a special date format (e.g. yyyy|MMMM|d) you can create a Date format list in this window manually. This list may contain up to 10 templates. Click here for more info about the date formats.

Note: use MM instead of mm for the Months.

If the date contains Single, Double quotation marks, or Backslash you have to use additional \ character before these special characters:

For example, for the 1/2'14 date the correct Date format is M/d\'yy.

In the Numeric and Date format settings window can be specified the removed characters from the imported fields as well. This function is useful when the parameters in your imported file are embedded in quotes or you want to remove special characters from the imported texts.

Creating categories and accounts/payees, based on imported transactions

If you import transactions from an external file, the imported transactions may include new categories and accounts/payees. These parameters are added automatically to the YourMoneyGuard Category and Account/Payee System, if the Generate categories/subcategories and the Generate accounts/Payees checkboxes are checked in the Import dialog box.

Note: The software doesn't set the account for the transactions automatically if the CSV or QIF-file doesn't contain the account information for the transactions. If a transaction hasn't connected to an Account, this transaction will be listed only if the "All account" parameter is selected in the charts. These transactions should be connected manually to an account after the importing.

Editing imported transactions and removing duplicates

After setting importing configurations, the Imported transactions preview dialog box appears. Here, you can edit and remove the unnecessary transactions from the list. If necessary you can use the Remove duplications checkbox in Import dialog box.

Note: Using the Transaction duplication functions you can easy create the appropriate transactions for a credit card transaction if its elements should be divided into different categories.

Editing or removing imported transactions

Although in the Imported transaction preview window the new transactions can be checked and edited before finalizing importing, the Undo function can be useful to withdraw the newly imported transactions, if more corrections are needed in importing parameters.

Importing transactions from Excel or a spreadsheet program

You can import transactions from Excel or a spreadsheet program, if you save the transaction list table to CSV file in the spreadsheet program. CSV file can be imported to YourMoneyGuard using the import transaction function.

4. Exporting data

Exporting functions are available only in YourMoneyGuard.

Transactions and events can be exported into CSV or QIF format. There is possibility to export only filtered transactions in the Search dialog box. Filtering can be done by all of the transaction parameters.

Exported statistical data from the Statistic table, can be opened in Excel or a spreadsheet program.

Saving Calendar and Charts as image

If you like taking notes on paper more than taking notes on computer, you can print or export a blank calendar as image from the File menu. The transactions and events can be hidden by unchecking the Show transactions and Show events checkboxes in Calendar preferences dialog. Furthermore, all of the charts in the program can be saved as image or copied to the Clipboard by right-clicking on the chart.

5. Miscellaneous

Event management (available only in YourMoneyGuard)

Event management is an independent function from transactions with similar structure. Built-in functions like pre-filling input fields or searching can be used here as well. Events can be prioritised and categorised into user defined groups.

If you do not want other people to be able to open the data file with your personal finance information, set a password in the Preferences dialog box:


Opening program from the Windows System Tray can be also password protected by checking the "Asking password for opening Password protected document from System tray" in Preferences.

Warning: if you lose the password, you will not be able to open the file.

Save into Anonymous file

The database can be saved into Anonymous file. Thanks for this function, you don't have to share your confidential financial information, when you have a problem with your data file, just send us the Anonymous file, if the data file is needed in order to identify the problem and support your issue.

This file can be created by selecting Anonymous documents (.ymga) as file type in the Save As... dialog box. In the next Anonymous fields window the hidden parameters can be checked. If all the checkbox are checked, then all of your financial information in the data file will be rewritten by replacement characters. Like T10001 instead of the transaction descriptions and all of the transaction amounts will be replaced by 1 or -1. The anonymization can be checked by opening the new document.

Running in the background

Checking the "Start minimized" in Preferences the program can be run in the background. In this mode transactions or events can be added by right click on YourMoneyGuard System Tray icon without open the program.

Reduce windows sizes. YourMoneyGuard saves all of its window sizes. This could be cause resizing problems especially using the portable version with different display resolution. In this case the window size can be reduced using the [Alt+"-"] shortcut.

Date format

The YourMoneyGuard Date System settings are based on the Windows Date System. Therefore, if you want to change, for example, the month or day names in YourMoneyGuard, you must change the Region and Language settings in Windows Control Panel. However, the First day of week can be changed in YourMoneyGuard Calendar Preferences:

Opening last used document automatically

If the Open last used document at startup checkbox is checked in the Preferences dialog, the last used file is loaded automatically. This function can be useful when you use only one data file, thus you don't have to open your document file every time you start the software.

The Auto save function can be useful as well. If this checkbox is checked, the document will be saved automatically when you close the application.

Delete categories, accounts, payees

If you delete an account/payee/category attached to transactions, the Transfer/delete transactions dialog box will appear. In this window transactions attached to the account/payee/category can be transferred to another one or deleted without transferring.

Restore from backup

There are two type of backup in the program. The first type (.ymglast) is always updated after a document loading. The second backup type (.b00) is a time period backup. The saving period can be changed in the Preferences dialog box. When the backup file opening (select Restore from backup in File menu) is successful, the original document file (.ymg) will be overridden with the backup file (.b00 or .ymglast). From the Version 2.3 the time period backup (*.b00) file names contain also a date code.
